How can I Change my Schedule View?

There are a number of ways to view your schedule. 

 

  1. To choose a type of view that is best for you, click on the down arrow beside the view menu, right on top of your schedule:

  2. A list of options will appear and you can choose the way you want to view your schedule. You have the option to order shifts by Department or Employee, and then view it by Day, Week, 2 Weeks or Month. Clicking any of the options changes how many days are visible on the schedule screen. For instance, clicking Month will change to a month view of your schedule. Examples of these views are provided below:

  3. In the top of the schedule, you will see a tab with a left and right arrow. Clicking the left or right arrow will move the schedule screen forward or back (If you are in Week view it moves by one week, if you are in Day view it moves by one Day etc.)

  4. Also if you need to see an exact day you can click on the text between the two arrows which will open a calendar. Find the day you need to see, click it and the screen will automatically change to a view that includes that day.

Day View: Shows one day of the schedule. Move forwards or backwards in days using the right and left arrows located between the day chosen.

Week View: Shows one week of the schedule. Move forwards or backwards in weeks using the right and left arrows located between the date chosen.  (click the image for an enlarged version)

2 Weeks View: Shows one week of the schedule. Move forwards or backwards in weeks using the right and left arrows located between the date chosen.

Month View: Shows one month of the schedule. Move forwards or backwards in months using the right and left arrows located between the date chosen or select a month by clicking on the month between the two arrows. You will have to click a day in the calendar but the schedule will jump to whatever month the day you picked is from.  Note that the Fit in view toggle is not turned on in this example.

To avoid sideways scrolling, you can turn on the Fit in view toggle, which will make every date in your selected view visible on your screen.

How can I filter and sort through a schedule?

  1. Inside Schedules, open the filters panel by clicking on the filters icon:

  2. A list of different types of filters will appear. Click on the title of the filter you want to set, for example, "Hours Classification":

  3. A new option list will appear. Select the desired option inside the box titled "Available" :

  4. Your chosen option will automatically be moved to the box named "Selected". It means that your filter was selected and applied to your schedule.

    NOTE: To clear filters and return to show all employees, click on "Clear All Filters" button on the top right corner of the menu:

How can I filter using the view options?

Scheduling view options can be used along with filters to reduce the number of shifts shown on the screen, sort in a particular order or change the time display from 12 to 24-hour clock.

To open up View Options follow the following steps:

  1. Inside Schedules, open the left side panel clicking on the gear:

  2. A side menu will appear. It will show up the default view, which is with "View Options", but in case it does not open click on "View Options" on the top left corner:

  3. Chose the options you would like to use to filter your schedule and then click Apply (A list of all the existing options can be viewed below). Your schedule will appear according to the option(s) selected:

Types of View Options:

  • Name – to change order, and use the employees’
    common name
  • Department Status – Home Department will list only
    those employees whose home location is that of the
    schedule being created, and Non-Home Department the
    opposite.
  • Shift in View – If Yes will show only those employees
    already scheduled, and No will show those that are not
    scheduled in this department for the current period.
  • Primary Sort – Select to choose primary sorting in
    employee view; secondary sorting is the default set.
